Group Class Policies and Etiquette
Effective Date: April 1, 2026
These policies apply to all group class participants at Bug Out Training Studio (BOT). By participating in classes, clients acknowledge and agree to the following studio policies.
These policies are intended to ensure a safe, fair, and enjoyable experience for all participants.
1. Booking Policy
Clients are responsible for reserving classes through the studio booking system. Clients enrolled in the Commit to Fit contract may be automatically scheduled into recurring class times. It is the client’s responsibility to cancel any sessions they will not attend so that the space may be made available to other participants.
2. Cancellation and No-Show Policy
Classes may be canceled up to 3 hours prior to the scheduled start time without penalty.
Cancellations made within 3 hours of class start time are considered a late cancellation and will result in the loss of the class credit used for booking. Failure to attend a booked class without cancelling in advance will be considered a no-show, and the class credit used for booking will be forfeited. Repeated no-shows may result in booking restrictions at the discretion of Bug Out Training.
3. Waitlist Policy
If a class is full, clients may join the waitlist. When a spot becomes available, clients will be automatically added to the class in the order they joined the waitlist until 1 hour prior to the scheduled class start time. If moved into the class from the waitlist and are no longer able to attend, please be sure to cancel so the next person is able to move into the class.
4. Class Participation & Instructor Guidance
Instructors reserve the right to modify exercises, provide alternatives, or limit participation in certain movements when necessary for safety. Clients must follow instructor guidance regarding equipment use, form, and exercise modifications.
5. Studio Etiquette
Please limit side conversations during class so all participants can focus and hear instruction clearly.
Class time is intended to support your physical, mental, and emotional well-being. If you are dealing with a situation, phone use is permitted as long as it does not disrupt the class or other participants.
5b. Studio Etiquette During Class Transitions
Personal training sessions may be in progress right up until group classes begin. Please be mindful and respectful of those clients by keeping noise levels to a minimum during this time. You are welcome to stretch or foam roll before class; however, please do so away from any active training areas. Thank you for your cooperation and consideration of others.
6. Children in the Studio
Children are permitted in the studio only if they remain in the designated waiting area and do not touch studio equipment or other items within the facility. Parents or guardians are solely responsible for supervising their children at all times.
Bug Out Training, LLC is not responsible for injuries or incidents resulting from lack of supervision. Parents and guardians assume full responsibility for any harm that may occur to their child while present in the studio.
7. Schedule Changes & Studio Closures
Bug Out Training reserves the right to adjust class schedules, instructors, or offerings as needed. As a boutique studio with limited staff, occasional closures may occur especially during major holidays, severe weather, or dangerous driving conditions.
8. Refund Policy
Bug Out Training does not offer refunds and all sales are final. Clients are responsible for reviewing expiration dates and purchase terms before completing a purchase.
9. Policy Updates
Studio policies may be updated periodically. Continued participation in classes constitutes acceptance of the most current policies.
10. Photo & Media Release
From time to time, Bug Out Training may take photographs or short videos within the studio for marketing, educational, or promotional purposes, including use on social media, websites, printed materials, or advertisements. By participating in services at Bug Out Training, clients grant permission for their image, likeness, or voice to be used for these purposes without compensation. Clients who prefer not to appear in media content should notify Bug Out Training in writing.

Personal Training Terms & Conditions

1. Scheduling, Cancellations & Rescheduling
Personal training sessions are scheduled in advance and reserved specifically for the client. Sessions must be canceled or rescheduled at least 24 hours in advance to avoid forfeiture of that session. Cancellations made with less than 24 hours’ notice, or missed appointments, will result in the loss of that session.
Sessions canceled with less than 24 hours’ notice, missed appointments, or late arrivals beyond the scheduled start time may not be rescheduled.
Note: Recurring Training Schedule
Clients who reserve a recurring training time are expected to attend sessions consistently. Bug Out Training reserves the right to adjust or release recurring training times if sessions are frequently canceled, missed, or if regular attendance cannot be maintained.
2. Late Arrivals
Clients who arrive late will receive training for the remaining portion of their scheduled session time. Sessions will end at the originally scheduled time so as not to delay other scheduled clients.
3. Contract Term & Session Expiration
This agreement represents a three (3) month commitment to personal training services at Bug Out Training, LLC. Any unused sessions must be used within four (4) weeks following the completion of the contract term. After this four-week grace period, any remaining sessions will expire and be forfeited.
Sessions are intended to be used consistently throughout the contract period and may not be accumulated or excessively stacked at the end of the agreement without prior approval.
4. Contract Holds & Transfers
Personal training contracts cannot be placed on hold and are non-transferable. Sessions may only be used by the client listed on the agreement.
5. Payments
The first month’s payment is due upfront to reserve the client’s spot on the training schedule. The remaining two monthly payments will be due on the same calendar date in the following months, unless otherwise arranged with Bug Out Training, LLC.
6. Payment & Account Standing
Client accounts must remain current and in good standing. If a scheduled payment fails or remains unpaid, Bug Out Training reserves the right to suspend booking privileges or terminate the agreement until the outstanding balance is resolved. Clients remain responsible for all unpaid balances owed to the studio.
7. Early Termination / Contract Buy-Out
Clients may terminate their contract early by paying the difference between the discounted contract rate and the standard one-month rate for each completed month of the agreement. Example: If the contract rate is $300 per month and the standard one-month rate is $360, the difference is $60 per month. If two months have been completed, the buy-out amount would be $120 ($60 × 2 months).
Exceptions to the early termination policy may be considered for documented medical conditions, relocation beyond a reasonable commuting distance, or other extenuating circumstances at the discretion of Bug Out Training, LLC.
8. Contract Renewal
After completing the three-month contract, clients will transition to a month-to-month agreement at their current contract rate unless otherwise adjusted by Bug Out Training, LLC with notice. Clients may cancel their training with a 14 day written notice or through the client portal.

10. Studio Conduct & Equipment Responsibility
Bug Out Training reserves the right to refuse service or remove any participant whose behavior is disruptive, unsafe, or disrespectful toward staff, clients, or the facility.
Clients are expected to treat all studio equipment and facilities with care. Damage resulting from intentional misuse, negligence, or failure to follow instructor guidance may result in the client being responsible for repair or replacement costs. Normal wear and tear of equipment is excluded from this policy.
11. Schedule Changes & Studio Closures
Bug Out Training reserves the right to modify schedules, instructors, or services as needed. As a boutique studio with limited staff, occasional closures may occur. Advance notice will be provided whenever possible. Closures are most likely to occur during major holidays, severe weather, or dangerous driving conditions. Safety is always prioritized.

13. Group Class Benefit Changes
Clients who are actively enrolled in a 3-month personal training contract, or who have completed their initial term and continue on a month-to-month basis, are eligible for exclusive group class rates:
All classes must be used within the current billing cycle and do not roll over. Participation in group classes is subject to standard booking, cancellation, and attendance policies.
14. No Guarantee of Results
Personal training results vary by individual and depend on factors including participation, effort, nutrition, and lifestyle habits. Bug Out Training does not guarantee specific outcomes.
15. Collection of Unpaid Balances
Clients are responsible for all fees associated with their purchases and agreements. If an account becomes delinquent and remains unpaid after reasonable collection attempts, Bug Out Training reserves the right to pursue recovery of the outstanding balance through appropriate legal means, including small claims court where permitted by law. Allowable court costs or collection expenses may be sought as part of that recovery where applicable.

All sales are final. Bug Out Training does not offer refunds for personal training sessions, contracts, packages, or retail purchases. Clients are responsible for reviewing expiration dates and purchase terms prior to completing a transaction.
